Overview
Lochshell Engineering are looking to recruit an Office Administrator to work in their Wick office.

A fantastic opportunity for an Administrator to join a motivated team within the construction and engineering industry. The role of the Administrator will be to support the day to day running of the office through various administrative and clerical tasks. Duties will include providing support to the Managing Director and employees, assisting in daily office needs and maintaining the company’s general administrative activities.

In addition, the administrator will also help maintain the business management systems in line with ISO 9001 (quality), ISO 14001 (environmental), ISO 45001 (health and safety) and EN 1090 (CE marking of structural steel).

Responsibilities

General Office Administration

  • Answer and redirect telephone calls; make outgoing calls as required
  • Send, receive, and respond to emails promptly
  • Scan and file documents to the company intranet
  • Order and manage office supplies and utilities
  • Create purchase orders and order stock/materials
  • Set up Microsoft Teams meetings and manage staff diaries
  • Support the Managing Director and wider team with administrative tasks
  • Assist with staff inductions and maintain training records

Quality & Customer Focus

  • Issue and analyse customer satisfaction surveys
  • Ensure full material traceability and certification for CE jobs

Fleet & Equipment

  • Monitor and assist in organising the maintenance of company fleet vehicles and/or machinery (as required)

Health, Safety & Environmental Duties

  • Carry out workplace health & safety inspections and fire risk assessments
  • Conduct and review COSHH assessments
  • Develop and review workplace emergency procedures
  • Organise staff training in line with health & safety requirements
  • Perform environmental monitoring and analyse results

Business Systems & Compliance (ISO & EN Standards)

  • Maintain and update internal business management systems in line with:
  • ISO 9001 (Quality), ISO 14001 (Environmental), ISO 45001 (Health & Safety) & EN 1090 (Structural Steel CE Marking)
  • Conduct internal audits and prepare documentation for annual management reviews
  • Monitor business objectives and support continual improvement
  • Update business procedures, operational manuals, and policies as needed
  • Coordinate and track corrective/preventive actions for nonconformities
  • Review and maintain the approved supplier list

Skills & Requirements

Necessary

  • Proven experience in an administrative role or similar position.
  • Strong organisational skills with the ability to prioritise tasks effectively.
  • Good general computer skills and a willingness to learn
  • Ability to work with Microsoft Excel and Word to a good standard
  • Excellent phone etiquette and communication skills, both written and verbal.
  • Ability to work independently as well as part of a team.
  • Attention to detail with a commitment to maintaining high standards of accuracy.

Desired, but not necessary

  • Previous experience working in line with ISO standards is desired, but training will be provided

Pay: £22,880.00-£28,990.00 per year
