Purpose: To support the business through the provision of high-quality office supervision services.

Qualifications & Experience

The following are mandatory requirements:

  • Successful experience of working in a general administration support role or equivalent.
  • Successful experience of working in a supervisory role (preferred).
  • Demonstrable knowledge and experience of operating office equipment and IT, e.g. telephone, computer with standard software, fax, copier, printer etc., to access, input and verify information.

Responsibilities

Being personally responsible for:

  • Resolve internal and external customer enquiries.
  • Maintain paper and computer-based records.
  • Provide routine and ad hoc management information to inform decision making.
  • Manage ad hoc administrative projects.
  • Produce correspondence, documents and presentations to specification using a variety of media.
  • Uphold confidentiality principles in handling and reviewing sensitive materials.
  • Create and maintain paper and computer-based filing systems.
  • Arrange and attend meetings and other events.
  • Conduct financial duties, for example processing invoices, preparing budgets, setting up and maintaining a petty cash system.
  • Provide line management to staff.
  • Monitor and review team performance on an individual basis and with the management team.
  • Assist in the recruitment of new staff.
  • Maintain stationary and equipment supplies.
  • Organise office maintenance and repair work.
  • Supervise the implementation of new office systems.
  • Supervise the health, safety and environment of the office.
  • Designing, implement and/or review office procedures.
  • Carry out other relevant duties as required from time to time.

Optional:

  • Be a named key holder to be contactable out of usual office hours in the event of an issue arising concerning office premises.
  • Approve holidays and maintain a diary of holidays for your department’s staff, to ensure appropriate levels of staffing at all times.
  • Ensure and arrange suitable cover in the event of unexpected and expected absences.
  • Ensure the proper management of all meeting rooms, for example that they are tidy and ready for use at the start of every meeting and the provision of all food and drinks that have been pre-ordered.
  • Deal with external suppliers and providers, in particular the cleaners and security, to ensure the premises are adequately secured, cleaned and in a respectable condition for use.
